Prior to traveling - submit a travel request

A Travel Request is required for all business travel except day trips, including trips partially or wholly paid by a third party. Travelers should have one Travel Request per each trip. All official UF business travel should be booked through the UF GO Booking Tool or with World Travel Service, the University’s authorized travel agent. The UF GO Concur Travel module is a robust booking tool providing Travelers and Delegates with airfare, car rental, lodging and train booking options. UF’s negotiated vendor rates are reflected in the booking tool.

University Traveler responsibilities include the following: Familiarizing yourself with the regulations, policies and directives of the University of Florida as well as your unit, department and/or program
Obtaining prior authorization for travel through a UF GO Travel Request
Ensuring expenditures are necessary and appropriate for meeting business needs
Verifying that all travel arrangements are confirmed prior to departure
Obtaining all proper supporting documentation for each expense
Covering any additional costs incurred for personal preference or convenience which are unallowable on University funds

Booking Travel All official UF business travel, specifically airfare, lodging accommodations and car rentals, should be booked by University Travelers or their Delegates through the UF GO booking tool or with World Travel Service, the University’s approved travel management company (“authorized travel agent”).
Purchases-Whenever possible, University Travelers or their Delegates should use a Pcard/Aircard for all other travel-related purchases. PCard utilization allows the University to be billed directly for expenses and integrates transactions directly to a UF GO Expense Report for reconciliation.
Frequent travelers should have a University PCard to efficiently process travel expenses in UF GO

DOMESTIC TRAVEL

is classified as travel within and between any of the 50 United States, District of Columbia, Puerto Rico, U.S. Virgin Islands.
Domestic travelers are allowed a maximum of 1-day prior departure/for arrival for domestic travel
